Who We Are

HVACPool is an HVAC information and product comparison website operating at hvacpool.com. In this policy “HVACPool”, “we” and “us” mean the operator of that website. We are the data controller for information collected through it. Privacy questions go to privacy@hvacpool.com.

Information You Give Us

When you use the contact form or email us, we receive your name, your email address and whatever you write in the message. That is all the form asks for, and we use it only to answer you.

Information Collected Automatically

Our web server logs your IP address, browser type and version, operating system, the page that referred you, the pages you viewed and the time of your visit. This is standard server logging. We use it to keep the site running, investigate errors and detect abuse.

We also use analytics to understand which guides get read and where visitors leave. Analytics data is aggregated and is not used to build a profile of you as an individual.

What We Do Not Collect

• Payment card numbers. We do not take card payments on this site.
• Government identification or tax numbers.
• Health information.
• Information from children. The site is not directed at anyone under 13 and we do not knowingly collect their information. If you believe a child has sent us something, email us and we will delete it.

Cookies

We use cookies that are necessary for the site to work, and analytics cookies that are set only if you consent. We do not run advertising or cross-site tracking cookies. The detail is in our Cookie Policy.

Why We Are Allowed to Process It

Where UK or EU data protection law applies, our legal bases are: your consent, for marketing email and non-essential cookies, which you can withdraw at any time; our legitimate interest in operating, securing and improving the website; and legal obligation, where a law requires us to keep or disclose something.

Who We Share It With

We do not sell personal information and we do not share it for anyone else’s marketing. We share it only with the service providers who make the site work — our web host, our analytics provider and our email delivery provider — and only to the extent they need it to provide that service. They are bound to process it on our instructions.

We will also disclose information where the law requires it, or where it is necessary to protect our rights or someone’s safety.

Where It Is Processed

Our providers may process data outside your country, including in the United States. Where that applies to UK or EEA visitors, transfers are covered by an adequacy decision or by Standard Contractual Clauses.

How Long We Keep It

Enquiry correspondence is kept for two years from your last message, then deleted. Newsletter records are kept until you unsubscribe. Server logs are kept for 90 days. Analytics data is retained in aggregate form.

Your Rights

Depending on where you live you may have the right to see the information we hold about you, correct it, delete it, restrict or object to how we use it, receive a copy in a portable format, or withdraw consent you previously gave.

California residents may additionally request the categories of information collected and the purposes for collecting it, and may opt out of the sale or sharing of personal information — noting that we do neither.

To exercise any of these, email privacy@hvacpool.com. We reply within 30 days. We will not charge you or treat you differently for asking.

Security

The site is served over HTTPS, access to stored data is restricted to people who need it, and our platform is kept patched. No system is perfectly secure, so we cannot guarantee absolute security — but we will tell you promptly if a breach affects your information.

Links to Other Sites

Our guides link to manufacturers, government resources and certification directories such as the AHRI and HVI databases. Those sites have their own privacy practices and we are not responsible for them.

Changes

If we change this policy the date above changes with it. Material changes will be flagged on the site rather than made quietly.

Complaints

If you are unhappy with how we have handled your information, tell us first at privacy@hvacpool.com. UK and EEA visitors also have the right to complain to their national data protection authority.
